Since when has Varyos existed?

We have been developing the platform since 2018 in close collaboration with small businesses. Varyos was released as a product in 2023, followed in 2024 by the industry modules Varyos Craft (trades) and Varyos Med (healthcare).

Which size of the base product suits my company?

You choose the same base product for 1–10 or for 11–100 employees. Up to ten or one hundred user accounts are included, respectively. You choose the size when you book.

Do I need to install anything?

No. Varyos runs entirely in the browser – no installation, no updates, no maintenance. Just sign in and get started.

Optionally, we offer a desktop app for Windows and macOS that allows focused work without browser distractions.

On which devices can I use Varyos?

On all devices with a modern browser: Windows PC, Mac, iPad, Android tablet, Chromebook or Linux computer. The interface adapts automatically to the screen size.

Do I need a permanent internet connection?

Yes, Varyos is a cloud application and needs a stable internet connection. We recommend at least 16 Mbit/s (DSL or faster) for smooth work.

Can I also use Varyos on mobile?

Yes, the application is fully responsive and works on smartphones and tablets. For certain industry modules there are also native apps (e.g. patient intake in healthcare).

Which features are included?

The base product connects inquiries, contacts, appointments, quotes, orders and invoices. You organize your work on the matching case and bill the services you provided, as an XRechnung if needed.

How do I extend Varyos?

Additional features are offered in the app after you sign in. Self-service booking on this website covers the base product only.

What are add-ons?

Add-ons are optional extensions. You can find scope, prices and booking in the app. They are not added automatically when you book the base product.

Can I use my own domain for the website?

Yes, of course. You can use your existing domain or register a new one through us. SSL certificates for secure HTTPS connections are included.

Where is my data stored?

All data is stored exclusively in data centers within the European Union. We use Microsoft Azure with locations in Germany and the Netherlands. The exception is advanced AI features such as the AI assistant and the phone AI: requests to them may also be processed outside the EU.

Is my data backed up?

Yes, automatically. We create regular backups of all data. In an emergency we can restore your data quickly. You don't have to take care of anything.

Do I need a data protection officer?

In most cases, no. In Germany, an external data protection officer is only required if:

• At least 20 people regularly process personal data
• You regularly process particularly sensitive data on a large scale

For typical small businesses that use Varyos, this is usually not the case.

How much does Varyos cost?

For 1–10 employees, the base product costs €69 per month or €690 with annual prepayment. For 11–100 employees it is €138 per month or €1,380 per year. All prices plus VAT. With annual payment you save two monthly installments. No mandatory setup fee.

Is there a free trial?

Yes, you can try Varyos free of charge and without obligation for 14 days. No credit card required, no automatic renewal.

How can I pay?

We accept payment by SEPA direct debit, bank transfer, credit card and PayPal. You can choose between monthly and annual payment (you save about 15% with annual payment).

Can I cancel at any time?

Yes, you can cancel your subscription at any time effective at the end of the term. There are no hidden costs and no minimum contract term beyond the period you chose.

Which features does Varyos Craft offer?

Varyos Craft was developed specifically for trades businesses and offers:

• Customer management with map view and route planning
• Quotes and orders with digital signatures
• Invoicing with automatic dunning
• Project management for complex construction projects
• Materials management and supplier management
• Route planning for field service staff

Can I send quotes and invoices directly?

Yes, all documents can be sent directly by email or made available in the customer portal. PDFs are generated and archived automatically.

Is Varyos Med a practice management system (PMS)?

No, Varyos Med does not replace your PMS if you run a practice that bills statutory health insurance. It is complementary organizational software for patient communication, appointment booking, forms and internal workflows. If you do not bill statutory health insurance, you can also use Varyos Med as standalone practice software. We offer complete patient records, private billing, appointment calendar, online booking, patient portal and much more. All current medications for prescriptions, templates for referrals and other processes – everything included.

Can I import patient data from my practice management system?

Yes, we can import basic data from most practice management systems (read-only). Talk to your IT service provider about the data export – we process all common formats.

How is patient data protected?

Particularly strictly. All health data is subject to extended safeguards:

• End-to-end encryption for sensitive information
• Role-based access rights (authorized staff only)
• Complete deletion at the patient's request
• Detailed access logs for audit requirements

Can patients book appointments online?

Yes, Varyos Med offers an integrated online booking system. Patients choose the appointment type and free time slots through your website or the patient portal. You keep full control over available times and appointment types.

How do I reach support?

Our support team can be reached by email, phone and chat. The system also includes an extensive help system with guides and videos.

Do you offer training?

Yes, we offer personal introductions by video call as well as on-site training. You will also find interactive tutorials and help texts in the application.

Do you help with setup?

Of course. We support you with the initial setup, importing existing data, designing your website and configuring all modules. If you wish, we can also handle the complete setup for you.
